Responsibilities

New York Institute of Technology seeks an Administrative Assistant to work in our College of Osteopathic Medicine (COM)- Student Administration office at our Long Island (Old Westbury) location. Reporting to the Associate Dean, this candidate will be responsible for the following:

    Act as the liaison between students and faculty to answer questions and solve problems.
  • Answer calls and route appropriately.
  • Greet department students, visitors, and guests.
  • Assist Dean with development of written materials and reports.
  • Schedule and coordinate department calendar, meetings, and committee meetings
  • Take meeting notes, type minutes, and distribute as instructed.
  • Prepare requisitions and submit documentation of receipt of orders & invoices to COM Finance.
  • Reconcile P-Card monthly and assist Dean and other office peers with reconciling their P-Card, as needed.
  • Assist with the 3-4 department budgets and monitor during fiscal year as well as provide budget updates to Dean and department directors.
  • Assists with projects and administrative support for 3-4 departments.
  • Make travel arrangements and type itinerary for department staff, as needed.
  • Assist with student background checks.
  • Maintain network data drives for division.
  • Processes forms.
  • Keep inventory and order supplies and promotional items, as needed.
  • General administrative duties assigned.

Qualifications

High School diploma plus 2-3 years of administrative support experience required or

Associates degree plus 1-2 years of administrative support experience required.

BA preferred.

Excellent interpersonal skills, good computer skills, and solid administrative/organizational skills.

Ability to work independently.

Proficiency in Microsoft Office,

Computer literacy - e.g., the ability to organize virtual meetings -use of Zoom, etc., and quickly learn new systems/software packages.

Prior experience working with budgets, billing and budget maintenance is preferred.

Ability to be professional and maintain confidentiality.

Excellent organizational skills with attention to detail.

New York Tech considers factors such as (but not limited to) scope and responsibilities of the position, candidate experience/expertise, education/training, key skills, geographic location, internal peer equity as well as market, organizational considerations and/or applicable collective bargaining agreement when extending an offer.

Minimum Salary
USD $38,000.00/Yr.
Maximum Salary
USD $45,000.00/Yr.
